We have a government issued form that includes basic information like name, address, passport number, dates of stay, etc. and we scan their passports and student IDs.
We don't charge credit cards for anything other than purchases. We collect cash deposits from individuals if they borrow locker keys. We take a security deposit in cash from each member of group bookings with the understanding that we will keep the group's full amount if they cause any damage to the hostel. All deposits are labeled with the guest's name / reason for leaving a deposit, and they are kept separate from the hostel's money because if there is a surprise audit from a government official the cash in the register has to equal the total of the day's receipts.
