What kinds of systems does your hostel use to manage reservations and guests?

Here are some of the ones that I have seen:

  • Paper reservation and accounting system
  • Excel or OpenOffice spreadsheet
  • roomMaster 2000
  • Ros2000
  • ASSD (including Gomio's version)
  • Hostelworld's Backpack software

Any others to add? Recommendations or warnings about one system vs. another?

Are you looking for just the availability, or are you looking for a front desk system that also has that as a feature?

If you are just looking to manage availability, and not touch the front desk, check out ratetiger.com, although I think some of their solutions may not fit with hostels or be a bit pricey.

Hosteloffice/dorm project is a great solution that does what you are looking for. One down side is that you have to use their booking interface on your website, and your guests are charged a fee to make a reservation. However, they claim that your reservations will significantly increase because of your increased allocations to booking agents. The customer service is very good.

HostelPower has a plug-in mechanism that does this as well, however it's a little shaky at the moment. The front desk system is great, but there are some problems getting it to communicate correctly with the booking agents.

yeah actually i am looking for a program that updates the availability with several web sites automatically when i make changes in our microsoft access based system.

Another one is SMS by Springer-Miller. I don't know how popular it is, but it can be a bit tricky to learn. Once you get it though, it's a piece of cake. It's probably the software I like the most...but it's a pain to reverse charges. :mad:

We have been giving free trials so we may as well mention it to the market as an option.
Hostels can use our software just for Room Management at the Reception with a fully integrated Booking engine for their website. The guest pays 100% on arrival at the hostel.
Later hostels can choose to add the two way automated links with HI Hostels, Hostelworld, Hostelbookers and more.
From our most basic option Managers can get remote access from any of their laptops and lots of reports.
I would suggest that when considering what software to use you look at the Booking engine that goes on your website. The better solutions offer rooms under multiple options with photos and even tours and other services.
So a Double bed room could be offered as a Single Private as well as a Double Bed Room.
